AutoCount Accounting - Full Purchasing Process

Stock Item
Click Stock > Stock Item Maintenance

 

Click on Create a new Stock Item.

*Key in the Item Code and Item Description.
*Define your Item Group / Item Type.
*Key in the UOM and UOM Rate.
*Insert Item Selling Price at UOM Details tab.
*Click on OK.

 

Stock Location
Click on Stock > Stock Location Maintenance

 

Click on New to create new location.

*Insert the Location details.

*Press Ok to save the details.

 

Creditor
Click on A/P > Creditor Maintenance

 

Click on Create a new Creditor.

*Key in Company Name.
*Click on Creditor Account + to generate Creditor code.
*Key in Creditor Information into General tab.
*Click on Save.

 

Request Quotation
Request Quotation is a process of applying for purchase with the company.
Click on Purchase > Request Quotation

Click on Create a new Request Quotation.

*Select the Creditor
*Select the Stock Location.
*Select the Item UOM, Key in the quantity.
*Key in the Unit price of the item.
*Click on Save and Preview.

 

*Select the report format > Press OK

Sample Report of Request Quotation will be listed as below:

 

Purchase Order
Purchase Order is a process of ordering to the supplier.
Click on Purchase > Purchase Order

Click on Create a new Purchase Order.

*Select the Creditor
*Click on Transfer Document > Transfer from Request Quotation

*Select the Partial Item Transfer > tick the request quotation item.
*Click on OK.

*Click on Save & Preview.

 

*Select the report format > Press Ok

Sample Report of Purchase Order will be listed here:

Notes:
When user save the Request Quotation & Purchase Order entry,
it will not affect your stock inventory level.

 

Goods Received Note
Goods Received Note is a process of receive goods from the supplier.
Click on Purchase > Good Received Note

Click on Create a new Goods Received Note.

 

*Select the Creditor.
*Click Transfer Document to transfer the document from Purchase Order.

 

*Tick the item wants to transfer.
*Click on OK.

*Click on Save and Preview.

 

*Select the report format > Press Ok

Sample Report of Goods Received Note will be listed below:

Click on Stock > Stock item Maintenance

Notes:
When user save the Goods Received Note entry, the stock item quantity will increase according with the item received from the supplier, But it will not affect to account and our G/L entry.

 

Purchase Invoice
Purchase Invoice is a bill or commercial document from the supplier which are showing the payment amount and the quantity of item.
Click on Purchase > Purchase Invoice

Click Create a new Purchase Invoice.

 

*Select the Creditor.
*Click on 'Transfer Document' to transfer the document from Goods Received Note.

*Select Partial Item Transfer > Tick the item that wants transfer from Goods Receive Note.

*Press Ok.

 

*Click on Save and Preview.

 

*Select the report format > Press Ok.

Report of Purchase Invoice attached below:

Notes:
When purchase invoice entry created, it will auto Link & Post to A/P > A/P Invoice Entry.

 

Purchase Return
Purchase Return is a process of returning the goods to the supplier.
Click Purchase > Purchase Return

Click on Create a new Purchase Return.

*Select the Creditor
*Click on Transfer Document to transfer document from Purchase Invoice.

*Select the item that wants to transfer from Purchase Invoice > Press Ok.

*Press Ok.

 

*Click on Save & Preview it.


Notes:
After User save the Purchase Return entry that transfer from Purchase Invoice,
the system will automatically deduct the quantity of the item return and Knock off A/P Credit Note at the same time.
Besides, It will auto-link to the A/P > A/P Credit Note Entry.

 

*Select the report format > Press Ok.

A/P Credit Note Entry
Click A/P > A/P Credit Note Entry

Click View to view this A/P Credit Note.

*A/P Credit Note will be Knockoff immediately if user transfer item from Purchase Invoice.

 

*Select the report format > Press Ok.

Stock Card Report
*User may use this report to view each of the item details.
*Click Stock > Stock Card Report

*Select the Specific item.

*Report show that all stock in and out will be listed here.

 

Create a new A/P Payment
Click A/P > A/P Payment

Click on Create a new A/P Payment.

*Select Creditor
*Click + to select Payment method > Keyin Payment amount that you pay to Creditor
*Tick the invoice that you want to Knockoff / Pay
*Click on Save and Preview.

 

*Select the report format > Press Ok.

Stock Balance by Location Report

*Select the Item Code.

Select the inquiry to show the item details by location.

 

Stock Card Report
*Click on Stock > Stock Card Report

 

*Select the item code.
*Click on Inquiry.

We can view the stock item in and out from your Stock card report.
